Install and set up WIP Ready

WIP Ready runs inside Procore as a full-screen embedded app. Installation takes a company administrator about five minutes; the first WIP cycle takes about fifteen. Nothing is installed on your machines and no data leaves Procore until you sign in and grant access.

Before you start

  • You need company administrator permissions in Procore to install an app.
  • The projects you want on the WIP schedule need budgets and prime contracts in Procore. WIP Ready reads those; it does not create them.
  • Have the email addresses of the project managers who will submit cost-to-complete estimates.

Step 1 — Install the app

  1. In Procore, go to the Company levelAdminApp Management.
  2. Find WIP Ready in the Procore Marketplace and choose Install. If you were given an App Install Key instead, use Install a Custom App and paste the key.
  3. Review the permissions Procore lists and confirm. The app requests read access to company directory, projects, budgets, and prime contracts, and writes nothing back to Procore.

Step 2 — Sign in

Open WIP Ready from the Procore company tools menu. The app opens full screen inside Procore and asks you to sign in with Procore. Authentication is OAuth 2.0 — WIP Ready never sees your Procore password, and what you can see in the app is bounded by your Procore permissions.

Step 3 — Sync your projects

On first sign-in the dashboard is empty. Choose Sync projects to pull your active Procore projects along with their budgets and prime contract values. After that, WIP Ready re-syncs every night, and you can re-sync by hand at any time.

Step 4 — Set your thresholds

Go to Settings and fill in:

  • Margin fade threshold — how many points a projected margin can drop below bid before WIP Ready raises a profit-fade alert. Five points is a common starting value.
  • Reminder interval — the minimum hours between cost-to-complete reminder emails to a project manager. The default is 48 hours.
  • Bonding capacity limit, working capital, and net worth — the figures your surety agent works from. These drive the bonding capacity view; leave them blank if you only want the WIP schedule.

Step 5 — Run your first cycle

  1. Go to Cycles and create a cycle for the period you are closing.
  2. Select the projects to include and send cost-to-complete requests. Each project manager gets an email with a private link — they do not need a WIP Ready login to answer it.
  3. Watch responses land on the cycle page. Reminders go out automatically at the interval you set.
  4. Review each submission, then generate the WIP schedule and export it to Excel or PDF.

Uninstalling

A company administrator can remove WIP Ready from App Management in Procore at any time. Removing the app revokes its access immediately. Email support@wipready.com if you also want your WIP Ready data deleted, and we will confirm once it is gone.
